Categories & Tags

Here you manage the categories and tags of your web portal. In order to suit the categorization to your current needs, you have the option to add categories and subcategories, or to edit, move or delete already existing ones.
With tags you create and manage your tags for different groups like blogs, documents, stories, etc.
 
Note: To manage categories and tags you need to be logged in as "Portal Master."

1. Categories Overview

  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Categories & Tags.
  3. Select a category Type from the box. The number in brackets shows, how many objects are already assigned to a certain category type. You may choose between:
     
    • Global
    • User
    • Stories
    • Company
    • Polls
    • Forum
    • Event
    • Helpdesk Ticket
    • Blogs
    • Wiki
    • Network Groups
All categories and sub-categories of the selected type will be listed below.

1.1 Add category

There are two ways to add new categories:
  1. To add several categories at once, try the following:
     
    • Click the button Portal Manager to get to the administrative area
    • Click Tools & Administration > Categories & Tags
    • Select a category Type from the box
    • Click Tools & Administration > Categories & Tags > Add
    • Enter into the field Name the names of new categories (comma separated).
    • Click the button Save when ready.
    Several categories of the current category type will be created.

  2. You may also add categories directly, one-by-one:
     
    • Click the button Portal Manager to get to the administrative area
    • Click Tools & Administration > Categories & Tags
    • Select a category Type from the box
    • Choose a parent category and click on the Edit icon on the right
    • Select Add from the box
    • Enter a name for your new category

1.2 Move category

There are two ways to move categories:
  1. Via mass operation:
     
    • Click the button Portal Manager to get to the administrative area
    • Then click Tools & Administration > Categories & Tags > Overview
    • Select a category Type from the box
    • Choose Categories you would like to move. Several categories can also be selected (ctrl + mouse click)
    • Select Move under Mass operation
    • Click the button Next...
    • Select Target category from the corresponding selection box
    • Click the button Move when ready.

  2. Via drag-n-drop feature:
     
    • Click the button Portal Manager to get to the administrative area
    • Then click Tools & Administration > Categories & Tags > Overview
    • Select a category Type from the box
    • Choose Categories you would like to move. Several categories can also be selected (ctrl + mouse click)
    • Hold the left mouse button and drag the categories to the target category
    • Drop the categories by releasing the mouse button

1.3 Edit category

  1. Click the button Portal Manager to get to the administrative area
  2. Click Tools & Administration > Categories & Tags
  3. Select a category Type from the box
  4. Choose a category you would like to edit and click on the Edit icon on the right
  5. To Rename a category, choose the Rename button from the box and enter a new name
  6. To Edit category settings, choose the Edit button from the box
  7. Change the Description or the Name of the category
  8. To activate your category, mark the corresponding checkbox under Status
  9. Select the tab Translations to translate category details
  10. Under Assigned objects you can manage the category assignments:
    • Select objects from the page
    • Under Mass operation with selected objects choose the required action: Move, Copy or Delete
    • Choose a Target category if necessary
    • Click Select when ready.
  11. Click the button Save when ready.

1.4 Delete category

  1. Click the button Portal Manager to get to the administrative area
  2. Then click Tools & Administration > Categories & Tags > Overview
  3. Select a category Type from the box
  4. Choose Categories you would like to delete. Several categories can also be selected (ctrl + mouse click)
  5. Select Delete under Mass operation
  6. Click the button Next...
  7. Click the button OK to confirm the deletion
  8. Click the button Cancel to cancel the deletion and return to the overview.

2. Categories Settings

2.1 General

Here you define, which elements can be assigned to categories.
  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Categories & Tags > Settings.
You get to the elements overview:
  • Element A list of elements that can be categorised.
  • Global Visibility of global categories.
  • Private Visibility of private categories.
  • Mandatory field Category selection should be mandatory.
  • No selection No category can be assigned.
  • Simple selection Only one category can be assigned at a time (select box).
  • Limit of 5(10) Not more than 5(10) categories can be assigned.
  • No limit You may assign as many categories as you wish.
To enable category selection, please do the following:
  1. Choose an element.
  2. Specify the visibility settings for the global categories.
  3. Specify the visibility settings for the private categories.
  4. Choose if the category field should be mandatory for this element.
  5. Click the button Save when ready.

2.2 Reset

  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Categories & Tags > Settings > Reset.
  3. Here you can rebuild missing categories. Specify the action you would like to perform:
    • Reset all object counts
    • Remove all object relations
    • Migration
    • Translation
  4. Click the button Save when ready.
  5. Confirm your choice with the OK button.

3. Categories Templates

With category templates you can make categories visible in the company profile. Layout and kind of categories can be defined.
Note: To display categories in the company profile the ID of the corresponding upper category is required which you find in the editing mode of the category in the first column ID.
  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Categories & Tags > Templates.
You get to the overview of the templates:
  • Name Shows the name of the template.
  • Edit By clicking the icon you get to the editing mode, q.v. 3.2 Edit.
  • Delete By clicking the icon you can delete the template, q.v. 3.3 Delete.

3.1 Add

  1. Click the tab Add.
  2. Enter in the field Name a name.
  3. Enter in the field Path the path, where the cateogries are supposed to apprear, q.v. /networks/account.
  4. Enter in the field Code the code which represents the template
  5. Click the button Save when ready.

3.2 Edit

  1. Choose in the overview the template you want to edit.
  2. Click the icon Edit on the right side of the table.
  3. Edit the template as desired, q.v. 3.1 Add.
  4. Click the button Save when ready.

3.3 Delete

  1. Choose in the overview the template you want to delete.
  2. Click the icon Delete on the right side of the table.
  3. Confirm the deletion by clicking the button OK.

4. Tags Overiew

With tags you categorize elements inside one group, i.e., you create the following tags for blogs: work, leisure, family. Now you can assign blogs to these tags to be found easier and faster. You can assign one blog to several tags.
  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Categories & Tags.
  3. In the navigation on the left, below Tags click Overview.
You get all tabs available for tags:
  • All sections Combines all tabs and lists all tags.
  • Blogs Tags for the area blogs.
  • Documents Tags for the area documents.
  • Stories Tags for the area stories.
  • Wikis Tags for the area wikis.
  • Network Files Tags for the area network files.
  • Network Groups Tags for the area network groups.
  • Feeds Tags for the area feeds.
The following filter options are available to search specificly for tags:
  • Click the initial of the desired tag in the letters.
  • Enter in the field Search a tag the desired tag and click the button Search.
  • Choose the desired tag in the listing.

4.1 Add

  1. In the Overview click the tab Add.
  2. Enter in the field Name the name for the tag.
  3. Choose in the area Group the desired group(s).
    Note: You can add one tag in several groups.
  4. Click the button Save when ready.
You get back to the overview.

4.2 Edit

  1. Choose the desired tag by using the filter option, q.v. 4. Tags.
  2. Click the icon Edit.
  3. Edit the tag as required.
  4. Click the button Save when ready.

4.3 Delete

  1. Choose the desired tag by using the filter option, q.v. 4. Tags.
  2. Click the icon Delete.
  3. Confirm the erasing procedure by clicking the button OK.

5. Tags Settings

You can define in the settings, which kind of tags are available and if so.
  • No selection There is no assignment of tags available for the chosen element.
  • Checkbox Several predefined tags can be selected. These tags have to be added first, q.v. 4.1 Add.
  • Textarea Tags can be entered comma separated by the user.
  1. Choose the desired element.
  2. Choose the corresponding selection.
  3. Click the button Save when ready.

6. Tag Cloud

The tag cloud gets embedded in the Master Design with the Design Modul $tagCloud, which is located in the area Design & Layout.
  1. Click the button Portal Manager to get to the administrative area.
  2. Then click Tools & Administration > Design & Layout.
  3. In the navigation on the left, below Master Design & Design Modules click Design Modules.

6.1 Embed

  1. Copy in the area Navigations & Menus the placeholder $tagCloud.
  2. In the navigation on the left, below Master Design & Design Modules click Master Design Templates.
  3. Select the active MasterDesign and click the icon Editn.
  4. Paste the placeholder $tagCloud to the desired place, e.g. in the navigation.
  5. Click the button Save when ready.

6.2 Edit

  1. In the area Navigations & Menus click $tagCloud.
  2. Choose in the area #1 dialogBox if the tag cloud should be "framed" (dialogBox 1) or if it should "float" (no DialogBox).
  3. Choose from the selection box Number of Tags the number of tags which should appear in the cloud.
  4. Click the button Save when ready.
